ROLE PURPOSE
The purpose of the HR Analyst role is to be the departmental specialist and expert in, finding, producing, verifying, interpreting and reporting the operational data required for corporate summary level and operational level reporting. Responsibility for maintaining and ensuring the data integrity of the HR system for Cork and European offices in partnership with HR and our other colleagues; Generating business critical reports to tight deadlines ; Working as part of the team in the preparation and assimilation of data for such processes to include, the annual merit process, annual global bonus plans and total reward statements; Manage the uploading of data in conjunction with HRMS in the US; contribute to the ongoing improvement of systems and data integrity across Cork and European offices;
Expertise should cover the extraction of data from a range of applications and transactional systems.
KEY TASKS/RESPONSIBILITIES/ACCOUNTABILITIES
• Management of HR database on a weekly basis through moves process, plus monthly administration and auditing of employee data in European Offices
• To provide accurate and timely operational reporting to the business as a whole.
- Workforce Reports; HR Analyst required to provide a weekly local Workforce Report; This involves tracking moves on a weekly basis, receiving HR consultant sign off through moves process, updating data on HR system, auditing data and providing timely reports.
- Attrition Reports; HR Analyst required to provide a monthly local Attrition Report and provide monthly attrition data to report writer. This will involve reporting on attrition (by department/function and/or by country/market) for month, for rolling year and for year to data. In addition you will be asked for ad-hoc attrition reports for a specific t time period, for a particular market/department/function on a weekly basis Reporting of Employee Data Costing files on a monthly basis. HR Analyst must report on salaries, benefits and also allowances such as car, secondment, language premium, Private Medical Insurance, work with RPM and Finance on accurate reporting of HR related data for staffing plans and cost centre reporting
- Monthly payroll audits
• Assume an escalation and expert reference role for all reporting related issues.
• Ensure the efficient delivery of data via automation of reporting processes and ongoing refinement of data storage techniques.
• Completion of Employer related Questionnaires on Employee data (IBEC, CSO)
• Responsibility for other HR related administration tasks relating to employee data changes
• Involvement in HR employee centric initiatives such as Associate Opinion Surveys, Communications Forums.
• Administration of the full annual merit process, annual global bonus plans and total reward statements, including reporting and training support of management teams on the process.(Compensation Work Bench)
• Reporting administration of mid month and month end audit of all HR files to comply with SOXX auditing and ensure HR data is correct and consistent with Payroll data.
• Provide training and systems support to new and other team members.
- HR Analyst will be required to be a super user for Oracle and Reporting tool and hence provide training as requested.
• Super User for new reporting tool BI and provide systems expertise from International perspective. Be involved in weekly calls and input provided for Q4 launch.
• Backup for Payroll.
SKILLS/KNOWLEDGE REQUIRED
MINIMUM
• At least 2 years experience using Advanced Excel and complex formula to produce top end reports
• Experience of data extraction and interpretation, using access & excel at advanced level.
• Track record of delivering high quality work to tight deadlines.
• Strong attention to detail
• The ability to balance multiple tasks and priorities is critical as well as demonstrating good project management skills
• Knowledge of reporting tools.
• Ability to analyse and comment on the statistics produced.
• Experience in a call centre operation; particularly reporting experience an advantage.
DESIRABLE
• CIPD HR qualification
• Experience of having worked in a fast paced multicultural matrix organisation an advantage.
• Previous experience in an administrative or numerical environment with exposure to workforce management software preferred.
• Knowledge and prior use of HR Database Oracle an advantage
• Enthusiastic individual with good interpersonal skills and able to deal professionally with all levels.
