Talent Acquisition (TA) Function
The TA function provides critical support to our business by enabling a strong and competitive workforce for Paypal and enabling a proactive, value add resourcing model that maximises its effectiveness while also being efficient.

THE ROLE :
Administration & support to TA Specialists & Partners
• Coordinate and support full cycle day-to-day recruitment activities of assigned requisitions, ensuring an efficient and effective service is delivered to the business.
• Manage own workload and capacity pro-actively and effectively.
• Contribute to the smooth running of the entire recruitment process from approval to hire to successful appointment of a suitable candidate and on-boarding.
• Input in the production of statistics and reporting requirements on daily, weekly and monthly basis, as directed by Partner and Lead Partner

Jobsboards Management
• Download jobs from Brass Ring/receive request from recruiter;
• Edit posting for grammar, formatting, and insertion of company information and benefits paragraph
• Post via Talentbrew and any other outlet available
• Quality control throughout life of ad incl. amendments, deletions and additions after job is posted
Applicant Tracking System Administration (Brassring)
• Update and maintain candidate and applicant tracking administration
• Upload and add candidates
• Add any additional notes
• Monitor Referrals
• Keep pipeline folders up-to-date
• Take candidate through recruitment lifecycle
• Regret Candidates

Background Verification

Kroll
• Upload candidate onto Kroll system
• Send declaration form and ID copy to Kroll for each candidate for the background check
• Liaise with candidate re: any issues /queries from Kroll
• Liaise with recruiter re: candidate issues/queries
• Once completed send report to recruiter to review

Skills Survey
• Upload candidate onto Skills survey system
• Track completed references and follow up with candidates until the required amount of references are completed
• Once completed, send report to TAP to review

Assessments / Oral Language Testing:
• Main Point of Contact (POC) for coordination and administration of all activities pertaining to assessments and testing
• Arrange Language Tests for candidates.
• Work alongside the coordinator to arrange feedback sessions, prepare OL's and Contracts for both internal and external candidates.
Interview Scheduling
• Diary and room coordination
• Arrange travel for candidates
• Coordinate interviews at external venues as required
• Coordinate all re-schedules
• Video Conference [Lifesize], Skype coordination across EU with sourcing contacts in all EU countries to assist with finding rooms
• Coordinating complex multi site interviews, where required
• Liaising with candidates or their representatives on availability

Travel
• Travel arrangements for candidates attending interviews
• Travel arrangements for recruiters
• Coordinate interviews in locations across EU with flight plans and arrival times
• Ensure that all forms are completed for travel
• Secure approvals from hiring managers
• Liaise with candidates or their representatives
• Arrange car/taxi for pick-up and drop-off, as required
• Arrange accommodation when required

Offer / On-boarding Process
• Work alongside the TA specialist/Partner to ensure all background checks are successfully and efficiently carried out.
• Ensure all new starters are added to the Starter list and set to 'hired' on BR and approved through Pix.
• Liaise with Training and Managers to ensure candidates are successfully on boarded prior to their first day with PayPal.
• Obtain any outstanding HR documentation from candidates within first 2 days of starting with PayPal.

Contract Generation
• Generate Offer packets as instructed
• Print contract, offer letter, RSU letter and have reviewed by member of TAC team
• Use checklist to print all additional benefit documents that must be sent with offer pack
• FedEx contract to location of signatory, as required
• Tracking of all contracts generated from request right through to when candidate receives offer pack
• Re- work of contracts, as required

Immigration and Visa coordination and administration:
• Connect with MyHR
• Liaise with immigration advisory partners to provide any required information for them to start the process
• Connect both candidate and Immigration advisory partners
• Update HM and recruiter on any updates regarding immigration

Relocation Support
• Submit the candidate through the system
• Sent to recruiter to review
• Send for approvals
• Track updates
• Liaise with Aires to ensure timely correspondence
• Liaise with hiring manager and candidate

Finance Administration

Purchase Orders Generation
• Receive request to raise the PO from recruiter or vendor
• Input into system
• Deal with challenges the system presents i.e. cost centres, billing addresses, awkward functionality
• Track the approvals process
• Constant communication with Vendors chasing payment (daily)
• Re-submit /edit if approver does not agree on amount
• Ensure it is sent to the vendor

Expenses ( Talent Acquisition Team)
• Input expenses into the system
• Input each individual receipt costing and explanation into the system
• Submit and track

Expenses (Candidates)
• Provide all candidates that incur expenses during the interview process with the reimbursement form
• Once candidate has completed reimbursement form with scanned copies of receipts print and fill out HR part at the bottom
• Submit for payment

MyHR liaison
• Point of contact for MyHR for all recruitment related queries
• Answer queries about contracts
• On-boarding - general queries after candidate has started

Communication
• Queries regarding all of the above via e-mail, Skype and phone
• Keep all TAP's/HM/ updated at all times

JOB QUALIFICATIONS

Education
Bachelors’ degree in business administration, HR, or related field is required or equivalent work experience.

Experience
1. 1-2 years of administration or coordination experience
2. Impeccable organisational and multitasking skills
3. Proven innovative internet sourcing experience
4. Experience with a recruiting applicant tracking system preferred, direct Brassring experience a plus
5. Experience in a global internet company, call centre or financial institution a plus
